Privacy Policy

What MagicOptix collects across the portal, desktop app, licensing, usage metering, and support diagnostics.

Optional product statistics

Disabled by default, these require your acceptance in the app. They measure run success, configuration reuse and guide starts or completions. Optional feedback lets you indicate whether a run was a test and whether you received human help.

Data includes random execution and configuration identifiers, configuration version, workflow type, outcome, timestamps and app version. Statistics are linked to your account: they are not anonymous. They exclude filenames, file paths, designs, photos and CSV contents.

Statistics are stored on the MagicOptix platform, displayed in aggregate to authorized administrators and kept for 90 days, with automated deletion running hourly. They may be processed by our hosting providers. Pending deliveries on your device expire after 7 days.

You can decline without losing features and change your choice in Settings → General. This is an account-wide choice. Withdrawal stops collection on this device and clears pending deliveries; it also deletes previously received statistics once synchronized with the server. Synchronization is deferred when offline. Other devices pick up withdrawal on their next synchronization, and the server rejects their events in the meantime.

Necessary license and credit accounting remains separate. Statistics are not reconstructed from billing history. Your current preference, its date and the notice version are stored separately to honor your choice.

Summary

MagicOptix collects account, license, device, and execution metadata needed to provide access, enforce plan limits, and support the desktop product. Detailed diagnostics are sent only after explicit user confirmation.

1. Data We Collect

  • Account data: email address, display name, authentication state, verification status, and security settings.
  • License and billing data: license keys, plan, subscription or order references, invoices, usage period, and entitlement limits.
  • Checkout consent evidence: accepted terms version and wording, timestamp, plan, billing jurisdiction, and limited technical context such as IP address and browser user-agent.
  • Device data: desktop device identifier, machine name, platform, app version, active device status, and related license binding.
  • Trial protection: a versioned digest of a Windows system identifier helps detect repeated free trials. The raw identifier is not transmitted. Trial claims and targeted support exceptions are stored separately from ordinary device bindings and are not automatically erased by a device transfer.
  • Execution metadata: execution id, workflow, source, status, row counts, success/error counts, duration, app, template count, timestamps, and billing state. Project labels and template names are excluded from automatic metering.
  • Support diagnostics: only after user confirmation, diagnostic reports may include runtime logs, local paths, result references, execution summaries, request snapshots, and error context.
  • Workflow review data: when you request a review, we receive the contact details, workflow description, and any PSD or AI template that you explicitly choose to attach.

2. Why We Use This Data

  • To authenticate users and keep accounts secure.
  • To provide access to the desktop app, customer portal, license management, and device control.
  • To enforce plan limits and usage metering when metering is enabled.
  • To provide customer support, investigate failures, and improve workflow reliability.
  • To assess a requested workflow and prepare a relevant product demonstration.
  • To maintain billing, audit, security, and operational records.

3. What Is Not Automatically Uploaded

  • MagicOptix does not automatically upload your complete PSD, AI, CSV, image, font, or output files as part of normal execution metering.
  • A PSD or AI file is uploaded for a Workflow Fit Review only when you explicitly select it and submit the review form.
  • Detailed diagnostics are sent only after you click the diagnostics support action and confirm the upload.
  • Diagnostic reports may still include references to local files, paths, logs, result metadata, and row data if needed to investigate the selected execution.

4. Sharing and Processors

  • MagicOptix may use infrastructure, email, payment, authentication, and hosting providers to deliver the service.
  • Support diagnostic data may be accessed by authorized support or engineering personnel when needed to investigate an issue.
  • We do not sell customer diagnostic data.

5. Retention

  • Contractual checkout consent evidence is retained for at least three years, or one year after the related subscription ends, whichever is later. Longer legal, tax, accounting, dispute, or legal-hold periods may apply.
  • Checkout IP addresses and browser user-agent values are removed after 180 days by default while the consent wording, timestamp, plan, jurisdiction, and terms version remain available as contractual evidence.
  • Account, license, billing, audit, and usage records are kept only as long as needed to provide the service, comply with legal obligations, and resolve disputes.
  • Diagnostic reports should be kept only as long as useful for support, product reliability, or customer follow-up.
  • Workflow review attachments should be kept only as long as needed to assess the workflow, prepare the demonstration, and complete the related follow-up.
  • Local desktop logs and results may remain on your machine unless cleared by the user or by the app workflow.

6. Your Choices

  • You can choose whether to send detailed diagnostics to support.
  • You can contact MagicOptix to request information about your account data, subject to verification and applicable law.
  • Some data is necessary to operate paid access, enforce license limits, provide support, and protect the service.
